When a functional need is not covered by a dedicated software tool managed by the IS Department, functional departments quite often turn to office automation suites like Microsoft Office to cover that need. Initially based on a handful of Microsoft Excel™ spreadsheets, these “applications” can become very hard to administer over time due to the increasing number of files. We refer to such applications, used alongside the IS Department’s applications, as “Shadow IT”.
Shadow IT represents a major risk, because this type of solution is produced at the expense of the good practices in place, namely in respect of testing, documentation, security, reliability, and so on.
According to a 2012 study (T. Chejfec, “Une analyse approfondie du Shadow IT” (in French only)), the most common example of Shadow IT is the use of Microsoft Excel™ workbooks with macros.
